Save a phrase and the text that should replace it. The rule runs on recognized text after recording; saying a phrase alone does not create a rule.
Save and test a replacement
- Open Writing tools → Word replacements.
- Enter my email in Original text.
- Enter
alex@example.comin Replacement text. This is a fictional example. - Choose Add. Check that the rule appears with no save error.
- Dictate “Please contact me at my email.” Stop and review the result.
Expected result: “Please contact me at alex@example.com.” This depends on TessFlo recognizing “my email” correctly. A replacement cannot recover missing or misheard words.
Matching rules
- Matching ignores capitalization. The replacement keeps the form you saved.
- The original must match a whole phrase, including spacing. Punctuation around it normally stays.
- Separate alternative originals with commas, such as my email, email address.
- Longer originals run before shorter overlapping ones. Keep rules simple and avoid overlaps.
- A replacement runs once. Its output is not passed through another rule in the same dictation.
- TessFlo protects existing emails, URLs, and other structured text from matches inside them.
Inserting an email or other protected value can cause writing cleanup to be skipped. Replacements do not train the model or change live captions. Check the final text.
Change a rule
Choose Edit, update either field, and select Save. Choose Remove to delete the rule.
Edit an existing original instead of adding a duplicate. Avoid rules that share originals or variants. Changes apply to future dictations, not history or text in other apps.
